Finance and Administration Manager

Finance and Administration Manager helps provide operational support on accountancy, tax, payroll, people engagement and office procedures.   A problem solver, we are looking for someone who is sharp, responsive, and thinks on their feet to solve rising challenges the tasks or team require. Candidates with background in Finance/Accountancy, Human Resources, Training,sales admin are suitable for the role. A big plus for those who are familiar with digital collaboration tools, Design Thinking, Human Centered Design.

Key areas of responsibilities

Accountancy Management 

Act as coordinator to work with Doodle’s appointed external service provider to provide data, documents, and advice for month/quarterly general ledger and year-end tax and accountancy activity. 

Together with external provider, manage internal performance system to help forecast and manage revenue, cost, cash flow 

Manage team’s and office general process including cash advance, claims activities to reconcile with monthly compliance and tax activities done by external provider and leave/absent procedures.

Plan, forecast, and prepare new year business records, forecast, templates, and procedures.

Manage Account payable and receivables and weekly payment plan and process

Human Resources Management 

In charge of recruitment, hiring and onboarding arrangements.

Maintain active Attendance and Absent record including  people’s master file, data change, leave balance, joiner/leaver data update.

Together with external provider, inform and update team on people change, movement,  monthly payslip, changes in payroll policy and company policy

Arrange healthcare Insurance, health check when required.

Work with the agency for Visa/Work Permit/Employment PassApplication.

Office and admin management 

Manage daily office operations and facilities management (security, office maintenance & renovation, etc.)

Be in charge to work with clients to provide support for clients’ contracts, invoices, and any client-related paperwork 

Maintain the order of office and workshopping supplies and other equipment as required.

Provide admin assistance such as organizing meetings and events, travel arrangements.

Support working with external suppliers  in relation to paper work, quotation, contracts, and payment  as required.

Assist any other tasks that teamwork requires.
