Team Assistant (Office & Admin Management)

Team Assistant (Office & Admin Management) helps fuel the design process by providing behind-the-scenes support on accountancy, tax, payroll, client project paperwork and procedures.   A problem solver, we are looking for someone who is sharp, responsive, and thinks on their feet to solve rising challenges the projects or team require. Candidates with background on project management, human resources, training, finance management, sales admin support are suitable for the role. A big plus for those who are familiar with digital collaboration tools, Design Thinking, Human Centered Design.   Fresh graduates are welcome.

Key areas of responsibilities 

Admin Support

Support with accountancy, tax, human resources tasks assigned and aligned by General Accountant or External Finance Provider.

Be in charge to work with clients to provide support for clients’ contracts, invoices, and any client-related paperwork 

Execute recruitment and hiring arrangements.

Maintain the order of office and workshopping supplies and other equipment as required.

Provide admin assistance such as organizing meetings and events, travel arrangements.

Assist any other tasks that teamwork requires. 


Collaborate with the facilitation team to plan and prepare the logistics of the Design Thinking workshops (online/offline/hybrid).

Follow up with workshopping deliverables and post-workshop payment and invoicing actions with the clients.

Follow up with paperwork required during and post project.

General Office Support

Assure proper maintenance of all supporting documents and paperworks for auditing and reviewing purposes at all times.

Support working with external suppliers y in relation to paper work, quotation, contracts, and payment  as required.

1- 3 years working experience. Willing to travel. Flexible with work hours.
